01Who we are
FirmGlyde is a practice platform for accounting firms, built and operated by G&S Accountancy Inc. ("FirmGlyde", "we", "us"). This policy explains how we collect, use, share and protect information when you visit firmglyde.com, contact us, or use the FirmGlyde service.
It does not cover the websites or portals of the accounting firms that use FirmGlyde. Each firm decides how it uses its clients' information under its own privacy notice.
02Information we collect
Information you give us. When you use a contact or early-access form, register a firm, or email us, we collect what you provide, such as:
- your name, work email address, phone number and firm name
- your firm's size and the details of your enquiry
- account details for the staff users your firm adds
- billing contact and address details. Card payments are processed by Stripe; we never see or store full card numbers.
Information collected automatically. When you visit the site we receive technical data such as your IP address, browser type, device information, referring page and the pages you view. We use it to run, secure and improve the site, including rate-limiting abusive traffic.
Customer Data. Firms upload and create information inside FirmGlyde, such as client records, bank statements, documents, invoices, employee onboarding forms and signatures. We process Customer Data on the firm's behalf, as described under Customer Data below.
03How we use information
- to respond to enquiries and early-access requests
- to create and administer accounts, provide the service and give support
- to bill subscriptions and send receipts, renewal and account notices
- to secure the service, prevent fraud and abuse, and keep audit logs
- to understand how the site and product are used, and improve them
- to comply with legal obligations and enforce our Terms of Service
We send marketing email only where the law allows, and every marketing email includes a way to unsubscribe.
04Customer Data
Your firm owns its Customer Data. We act as your firm's service provider: we host, process and transmit Customer Data only to provide and support FirmGlyde, to keep it secure, and as your firm instructs or the law requires.
We do not sell Customer Data and we do not use it for advertising. Every firm is a separate tenant: data is partitioned, encrypted in transit and at rest, and access is role-based and audit-logged.
If you are a client or employee of a firm that uses FirmGlyde and want to access, correct or delete your information, please contact that firm directly. We will help the firm respond.
07How long we keep it
We keep personal information for as long as we need it for the purposes above. Enquiries are kept while we are in contact and for a reasonable period afterwards. Account and billing records are kept for the life of the account and as long as tax and accounting law requires.
Customer Data is kept while your firm's subscription is active. After cancellation it is available for export and then deleted, as set out in our Terms of Service.
08Data security
We use appropriate technical and organizational measures to protect personal information, including encryption in transit and at rest, tenant isolation, role-based access and audit logging. No system is perfectly secure, so please use a strong password and tell us straight away if you suspect unauthorized access to your account.
09Your rights
Depending on where you live, you may have the right to ask for access to, correction of, or deletion of your personal information, and to object to or restrict certain processing. To make a request, contact us using the details below. We will verify your request and will not discriminate against you for making it.
10California privacy rights
If you are a California resident, the California Consumer Privacy Act (as amended by the CPRA) gives you the right to:
- know what personal information we collect, use and disclose, and why
- request deletion of personal information we hold about you
- correct inaccurate personal information
- opt out of the sale or sharing of personal information. We do not sell or share personal information, so there is nothing to opt out of.
- limit the use of sensitive personal information. We use it only as needed to provide the service.
- not be discriminated against for exercising these rights
You may make a request yourself or through an authorized agent. We will confirm receipt within 10 business days and respond within 45 days. The categories of information we collect are described in Information we collect.
11Children
FirmGlyde is a business service and is not directed to children under 16. We do not knowingly collect their personal information.
12External links
The site may link to third-party websites. We are not responsible for their content or privacy practices.
13Changes to this policy
We may update this policy from time to time. We will post the new version here with a new "last updated" date, and tell account owners by email before material changes take effect.
